Inviting Subaccounts
Subaccounts let other people take payments using your TrustistTransfer merchant account.
They are useful if you have team members, branches, locations, departments, or staff who need their own access to take payments.
For example:
- A shop may want each staff member to have their own access
- An estate agent may want each branch to have its own subaccount
- A hospitality business may want different locations or team members to take payments separately
A subaccount does not need to complete the full merchant onboarding process. Once the invite is accepted and the user has created their login, they can start taking payments under your merchant account.
Only invite people you trust to take payments for your business.
Before You Start
Before inviting someone, make sure you know:
- The name you want to use for the subaccount
- Whether the subaccount is for a person, branch, location, or team
- The email address of the person you want to invite, if you want to send the invite by email
The subaccount name should be easy to recognise later.

1. Open the Subaccounts Page
Sign in to TrustistTransfer.
Open the Subaccounts tab. This is where you can see your existing subaccounts and invite new ones.
On this page, you can:
- Search existing subaccounts
- See whether a subaccount is invited, active, or deactivated
- Add a new subaccount
- Rename a subaccount
- Disable a subaccount
2. Check Existing Subaccounts
Before creating a new invite, check whether the subaccount already exists.
Use the search box to filter by name or location.
Each subaccount will show a status:
- Invited means the invite has been created, but the person has not finished setting up their account yet
- Active means the person has accepted the invite and can use the subaccount
- Deactivated means the subaccount has been disabled
3. Add a New Subaccount
Select Add New.
You will be asked to enter a Display Name.
Enter a clear name for the subaccount. This can be a person's name, a location, a branch, or a team name.
For example:
Team member name - LocationSarah - YorkManchester Branch
You cannot use the same display name as an existing subaccount.
4. Choose How to Send the Invite
After entering the display name, choose how you want to invite the person.
You can invite them by:
- QR code
- Share link
Choose the option that is easiest for the person receiving the invite.
- Invite by QR Code
Select Invite Via QR Code.
A QR code will be shown on screen.
Ask the person you are inviting to scan the QR code using their own phone. This will open the invite link and allow them to create their account.
Once they have scanned the QR code, select Done.
If you decide you would rather send the invite by email, select Invite Via Email instead.
- Invite by Share Link
Select Share Link.
If your device supports sharing, your phone or browser will open the normal sharing options. You can then send the invite link using an app such as email, text message, WhatsApp, or another messaging app.
If your device does not support direct sharing, the invite link will be copied instead. You can then paste it into a message and send it to the person you are inviting.
Once the invite has been shared, you can return to the Subaccounts tab.
- Invite by Email
Select Invite Via Email.
Enter the email address of the person you want to add as a subaccount holder.
Check the email address carefully, then select Send Invite.
When the invite has been sent, you will see confirmation on screen. Select Finish to return to the Subaccounts tab.
5. What the Invited Person Needs to Do
The invited person must open the invite link.
They will be taken to the TrustistTransfer registration page.
They need to:
- Enter their details
- Create a password
- Verify their email address
- Set up multi-factor authentication
Once this is complete, they will see confirmation that they can start taking payments.
They do not need to complete the full business onboarding process, because they are joining your existing merchant account.
6. Check the Invite Status
After sending the invite, return to the Subaccounts tab.
The new subaccount will appear in the list.
At first, the status will show as Invited.
Once the person has accepted the invite and completed registration, the status will change to Active.
7. Rename a Subaccount
You can rename a subaccount if the display name needs changing.
On the Subaccounts page, select the edit icon next to the subaccount name.
Enter the new name, then confirm the change.
Use a name that will still be clear to your team later, especially if you have several branches, locations, or users.
8. Open a Subaccount
Select a subaccount from the list to view it.
This lets you see information connected to that subaccount, such as its transactions.
9. Disable a Subaccount
If someone should no longer have access, you can disable their subaccount.
On the Subaccounts page, select the delete or bin icon next to the subaccount.
You will be asked to confirm that you want to disable it.
Only continue if you are sure. The app will warn you that this action cannot be undone.
Common Issues
The Person Has Not Received the Invite
Ask them to check their junk or spam folder.
If you are with them in person, use the QR code option instead.
You can also use the share link option and send the invite through another messaging app.
The Subaccount Name Already Exists
Choose a different display name.
For example, if York Branch already exists, use something more specific, such as York Branch - Front Desk.
