How to Create a TrustistTransfer Account for a Limited Company

This guide explains how to set up a TrustistTransfer account for a UK limited company.

A limited company is a business registered with Companies House. It is legally separate from the people who own or run it.

Before You Start

Before you begin, have the following ready:

  • Access to your email inbox
  • Access to your mobile phone
  • The company name
  • The company registration number, if you know it
  • The company website, social media page, marketplace profile, or another online page that shows the business
  • The company VAT number, if it has one
  • The company registered office address
  • The company operating or trading address, if different
  • Details of the company directors
  • Details of the people who own or control the company
  • Photo ID for the applicant and any other required signatories
  • Proof of personal address for the applicant and any other required signatories
  • Details of the company bank account you want to use with TrustistTransfer
  • A recent company bank statement, in case the bank account cannot be connected automatically
  • Company documents, such as the memorandum and articles of association
  • A group structure chart, even if the company has a simple ownership structure
  • Any licences, certificates, policies, or regulatory documents that apply to the business

People who own or control the company are often called beneficial owners, ultimate beneficial owners, or people with significant control. This usually means anyone who owns or controls 25% or more of the company.

ID and Address Document Rules

Each person who completes verification must use their own documents.

Photo ID must belong to the person being verified. This can be a valid passport or driving licence.

Proof of address must also belong to the person being verified.

The proof of address document must:

  • Show the person's personal home address
  • Be dated within the last 30 days
  • Match the address entered during onboarding
  • Show the person's name clearly
  • Show the address clearly
  • Be clear and readable

The proof of address document cannot:

  • Be for the company address only
  • Be for the company trading address only
  • Be from a challenger bank
  • Be a business bank statement

A company bank statement can be used separately to confirm the company bank account. It cannot be used as proof of a person's personal address.

1. Create Your Login

Go to the TrustistTransfer sign-up page and enter your email address.

You will be sent a verification code by email. Enter this code on screen to confirm your email address.

After your email has been verified, complete the remaining account details, including your name and password.

You will also need to verify your mobile phone number. Use a phone number you can access easily, as you need it when signing in.

2. Tell Us About the Business

You will first be asked where the business is registered.

For a UK limited company, select:

  • United Kingdom
  • Limited Company

You must then choose the sector that best describes the business.

This helps us understand what the company does and what checks or documents are required.

You must also read and accept the terms and conditions before continuing.

3. Find the Company on Companies House

You will be asked to search for the company.

Enter the company name and select Search.

A list of Companies House matches will appear. Select the correct company from the list.

If there are companies with similar names, check the company registration number before continuing.

4. Review Company Details and People

You must review the company details and the people connected to the company.

Check that the following information is correct:

  • Company name
  • Company registration number
  • Registration body
  • VAT or tax number, if applicable
  • Previous company names, if applicable
  • Registered address
  • Operating or office address
  • Directors
  • Beneficial owners or people with significant control

The directors and beneficial owners must match the company records and the documents you provide.

If a person owns or controls the company through another company, include the parent company or ownership chain where requested.

5. Confirm the Applicant and Signatories

The applicant is the person completing onboarding and acting for the company.

Select your name if it appears in the list of directors or beneficial owners.

You must then answer the authority questions. These confirm:

  • Whether you are authorised to act for the company
  • Whether you can act alone
  • The basis of your authority

Your authority basis will be one of the following:

  • Registered Director
  • Registered Beneficial Owner
  • Delegated Authority

If you are acting under delegated authority, you must provide evidence, such as a power of attorney or another authority document.

If you cannot act alone, or if another person must also approve the set-up, you must select the required signatories. Those people must complete their own verification.

6. Complete the Account Set-Up Checklist

After the first few screens, you will see an Account Set-Up checklist.

Work through each item in the list. Some steps will already be complete. Any remaining steps must be completed before the company onboarding can be submitted.

7. Complete About Your Business

In this section, enter the general information about the company.

You must provide:

  • Business name
  • Website
  • Online presence
  • The Trustist services the company plans to use
  • Your role in the business
  • Phone number

You can also enter the VAT number if the company has one.

If the company does not have a website, use another public page that shows the business, such as a social media page or marketplace profile.

8. Complete Identity and Address Verification

The applicant must complete identity and address verification.

Follow the instructions on screen. You must provide photo ID, such as a valid passport or driving licence, and take a selfie.

You must also provide proof of your personal address.

Your address document must show your personal home address, not the company registered office or trading address. It must be dated within the last 30 days.

You cannot use a challenger bank statement or a business bank statement as proof of personal address.

Before uploading your document, check that:

  • Your name is shown clearly
  • Your personal address is shown clearly
  • The document is dated within the last 30 days
  • The details match the information entered earlier
  • The image or file is clear and readable

Once the checks are complete, you will be returned to TrustistTransfer.

9. Complete Signatory, Owner, or Director Verification

If other directors, beneficial owners, or signatories are required, they must also complete verification.

Send the verification link to each required person and ask them to complete the checks.

Each person must use their own photo ID and their own proof of personal address.

Proof of address for each person must follow the same rules:

  • It must show their personal home address
  • It must be dated within the last 30 days
  • It cannot be from a challenger bank
  • It cannot be a business bank statement

10. Choose the Company Bank Account

You must choose the company bank account you want to use with TrustistTransfer.

This account will be used to receive payments from customers and can also be used for transaction fees.

In most cases, you can connect the bank account using Open Banking. Select the bank and follow the bank's instructions to authorise the connection.

If the bank cannot be connected, upload a recent company bank statement instead.

The company bank statement must be dated within the last 30 days and clearly show:

  • Company name or account holder name
  • Account number
  • Sort code

This bank statement is used to confirm the company bank account. It is separate from personal proof of address.

11. Set Up Direct Debit

If Direct Debit set-up is shown in the checklist, check the details on screen.

Make sure the address and bank account details are correct.

Tick the confirmation box to confirm that you are the account holder, or that you are authorised to set up Direct Debit payments on the company bank account.

12. Add More Business Information

You must provide more information about how the company operates.

This includes:

  • How customers can make complaints
  • Whether the business needs a licence
  • Whether the company or its people have had any legal sanctions or fines
  • The countries or areas the company trades in
  • Any countries or areas the company does not trade in
  • The payment methods the company accepts

If the business needs a licence, you must provide the licence details. If the company does not hold the licence yet, you must explain why.

If there have been any legal sanctions or fines, you must provide the details requested on screen.

For some business sectors, you must also confirm that customer-facing policies are available on the company website.

13. Upload Company Documents

The documents required depend on the company and its sector.

For a limited company, you must provide company registration and ownership documents.

This normally includes:

  • Business registration evidence
  • Memorandum and articles of association
  • Group structure chart
  • Licences or certificates, if applicable

The group structure chart should show who owns or controls the company. If the company has a simple structure, the chart can be simple too.

Depending on the company's business activity, extra documents are also required. These can include:

  • Customer terms and conditions
  • Complaints handling policy
  • Refund policy
  • Anti-money laundering policy
  • KYC or KYB process
  • Gambling licence or gambling controls policy, if relevant
  • Power of attorney or authority document, if acting under delegated authority

Some requirements can be completed by uploading a file or by adding a website URL.

If an optional document does not apply to the business, mark it as not applicable.

14. Card Payments

If the Card Payments step appears, choose whether the company wants to enable card payments now.

Card payments require agreement to the card payment terms and involve extra checks.

The company can enable card payments during onboarding or skip this step and set them up later.

15. Finish Onboarding

When all required checklist items are complete, press Complete.

The company account will then be reviewed and prepared. You will receive an email when the account is ready.
